Note: Configuring the Strategic Reporting extract for Skyline should take no longer than 20 minutes to complete. The report can be setup on any PC which has access to a practice shared drive and by a user who has Download Strategic Reporting Extracts access. If the Gateway is already setup, on the PC running Gateway mode go straight to Extract Configuration Setup below.

NOTE: TPP have advised Informatica that all practices who scan use document scanning have a PC running in Gateway mode setup.

Before creating a Gateway mode shortcut or giving a new user Strategic Reporting access, we recommend you check with the TPP helpdesk as to whether Gateway mode is already running.

If the Gateway mode is not running on a PC and a user doesn’t have Strategic Reporting Extracts access, it’s recommended that a Cauldicott guardian account is used however this is the practices responsibility. The member of staff will need to be logged into TPP running Gateway mode 24/7 with the exception of rebooting the PC. There’s no reason why the user should not always log on in Gateway mode.

Grant A TPP User Strategic Reporting Extract Access

  • Open the Staff Screen

  • Highlight the user to grant access

  • Click on Amend

  • Click on Local Access Rights

  • Click on the Data Gathering tab

  • Tick Download Strategic Reporting Extract

  • Click on OK

Run SystmOne in Gateway Mode

Usually the PC running TPP in Gateway mode has a different icon to the standard TPP icon. The extract user must log into TPP using the Gateway mode for the extracts to run.

Check the TPP Gateway Shortcut Is Using A High Memory Client

  • Right click on the SystmOne Gateway shortcut on the desktop

  • Click on Properties

  • Shortcut tab

  • Target path should be : ‘C:\apps\Tpp\rungenps.bat -Xmx1024m -Xskipmemorycheck’

  • Change the path to above if needed

  • Click on Apply

  • Click on OK

  • If a change was made ask the user to logout and back into the Gateway mode to check this opens OK

How To Add A TPP Gateway Shortcut

Note, Only needed if your practice are new to Strategic Reporting and don’t have a TPP Gateway shortcut on a desktop.

If there’s no TPP Gateway mode icon on the desktop create a shortcut icon using the path:-

C:\apps\Tpp\rungenps.bat -Xmx1024m -Xskipmemorycheck

Note: SystmOne running in Gateway mode will display the word Gateway in the caption bar of its main window.

Configure The Gateway PC To Log Back On After Maintenance Updates Are Applied

  • Within TPP click on Settings

  • Click on Organisation Preferences

  • Highlight Gateway Settings in the left column

  • Click ‘This PC’ to enable for the current PC

  • Click OK

you can start the configuring a strategic report extract for Skyline, the PC or virtual PC running in Gateway mode needs to be located. If you don’t have a PC running Gateway mode or your practice are new to Strategic Reporting please see TPP - Grant Strategic Reporting Access And Gateway Mode Checks before progressing.

Note

Our preferred location for saving the Skyline extracts is on a network drive as this gives the practice more flexibility when uploading the data into Skyline.

Please check you meet the following statements before continuing:-

  • Check you have a practice shared drive available to all staff - Skyline extracts will be saved here

  • The Gateway PC Windows logins MUST be able to access the shared drive

  • Nominate a PC within the practice which can stay logged on the network 24/7 and isn’t used by different staff

  • Nominate a Skyline Gateway Role user - they will log into the Skyline Desktop Connector (DTC) on the PC selected above and must have access to the shared drive. The DTC is responsible for uploading the daily extracts from the shared drive into Skyline

Once the strategic report for Skyline extracts has been setup and activated by TPP, the report will extract data from SystmOne on a daily basis and save the files in the network path configured in the report below.

Configure A New Organisation Group

Note: throughout the document you will see reference to NACS CODE - you must enter the PRACTICE NACS / ODS CODE E.G A12345

Note: the extract user must not log into the TPP Gateway using their Smartcard as the Gateway will logout once the Smartcard is removed.

Creating The Data Extracts Folders On A Shared Network Drive

You MUST be able to access the practice shared network drive

  • Click on File Explorer on the task bar

  • Browse to your shared drive where you want the extract files to be saved on e.g. S:

  • Create a new folder - call this Skyline

  • Open the Skyline folder and create a new folder - call this Informatica

  • Open the Informatica folder and create 2 new folders - call them Data Extracts and New

  • Check that all staff can read / write to the Data Extracts folder

Just recap, you should now have a network path of S:/Skyline/Informatica/Data Extracts (S: is an example, this will be replaced with your network drive letter)

Extract Report

Log into TPP as the user who is has access rights to Download Strategic Reporting Extracts access needs to log into TPP running in Gateway mode.

  • Click on Setup

  • Click on Users & Policy

  • Click on Organisation Groups

  • Click on New Group

  • Group name: Informatica (NACS CODE) - E.G Informatica A12345

  • Parent organisation group

    • Click on the house icon

    • Tick ‘Only show groups in this organisation and a member of’

    • Select the practice NACS code / practice NACS codename

    • Click on OK

  • Function/speciality

    • Click on the down arrow

    • Tick the this organisation box

    • Select Strategic Reporting

  • General description: Skyline Extracts

  • Membership terms

    • Tick Membership must be approved by your organisation

    • Tick Allow reporting across entire group

    • Tick Strategic reporting group

  • Click on OK

A box will be displayed advising that a new organisation group has been created and to contact the TPP helpdesk to schedule the report.

Configure Extract Tables And Fields

  • Click on Setup

  • Click on Users & Policy

  • Click on Strategic Reporting Download Configurations

  • Strategic Reporting : Select Informatica (NACS CODE) from the drop-down box if there are more than one configured/available.

  • Click New to create a new extract report (Amend can be used to edit and existing report)

    • Click on the folder icon

    • Image Removed
    • Type the file name C:\ProgramdataClick on This PC

    • Select the practice network drive and drill down to Skyline\Informatica\Data Extracts OR type the path e.g. (network drive letter):\Skyline\Informatica\Data Extracts

    • Click on SelectClick YES to create

  • Root directory new units:

    • Click on the folder icon

    • Image Removed
    • Type the file name C:\ProgramdataClick on This PC

    • Select the network drive and drill down to Skyline\Informatica\Data Extracts\New OR type the path e.g. (network drive letter):\Skyline\Informatica\Data Extracts\New

    • Click on selectClick YES to createSelect

Scheduling The Extract

Note, As mentioned above, the TPP Gateway must be running during the reporting period, which is from 9pm to 10.30am This can vary depending on the extract job finish time.

Friday evenings are apparently special in terms of generating full extracts, it’s not always possible to create a new extract and have it run a full extract before the subsequent Friday however this requires more testing by development to be sure.

  • Click on Setup

  • Click on Users & Policy

  • Click on Scheduled Jobs

Configure as follows:-

  • Run On: Gateway

Note

Note: The report will run on the Gateway PC daily and save the extract files to the path you’ve setup above, hence why it’s VERY important that the Gateway PC can access and write to the practice shared drive and folders you’ve created. I’d recommend checking this once you’ve setup the report.

  • Due: Set this to todays date and 23:00

  • Repeat: Tick to keep the schedule on repeat

  • Strategic Reporting Group: Informatica (NACS CODE)

  • Download Configuration: Informatica Reporting

  • Click the + to the right of the box displaying Informatica Reporting

  • Informatica (NACS CODE) should be added to the configurations to download

Note, As long as the TPP Gateway is logged in, the scheduled report will begin automatically downloading at the scheduled time once TPP has activated the new organisation groupthe report is now setup. Once the new organisation has been activated by TPP, data will be extracted daily at 23:00 however this is reliant on Gateway mode running and access to the practice shared drive. The extracted data will then be uploaded into Skyline by the DTC; for reference, this is covered in TPP - Configuring The Skyline Desktop Connector For Gateway Role (Uploading Data) but not needed at this stage. We’ll notify you once Skyline is ready for ‘go live’.

Note, TPP will email you confirming that the Organisation Group as been activated and advise on the date when the bulk data will be extracted.

  • On the a day AFTER the extract date advised by TPP, on the Gateway PC browse :-

    • Browse to:-

    C:\Programdata
    • (Network drive letter)\Skyline\Informatica\Data Extracts

    • Check to see if data files are listed in the Data Extracts folderEmail Support@ishealth.co.uk once TPP have activated Informatica (NACS CODE) and files an Archive folder and data tables are listed in the Data Extracts folder
